Context

Roughly 4,800 documents a day arrived by email and fax in over 200 layouts. Three offshore teams retyped them into the TMS. Errors surfaced at invoicing, weeks later.

Constraints

No change to the TMS was permitted. Carrier data could not leave US regions. The CFO required payback inside two quarters.

What we built

Xelec Extract for structure-aware extraction with per-field confidence, an exception console for the 6% that fail thresholds, and a write-back adapter into the existing TMS. Evaluation set of 1,200 human-labelled documents gates every model change.

Outcome

Straight-through processing reached 94% in week six. Two of three retyping shifts were redeployed to carrier onboarding. Invoice disputes attributable to intake errors fell by roughly two thirds.
